Introduction

Agent Conversion Marketing Inc. (“we,” “us,” or “our”) operates the Agent Conversion System™ (the “System” or “Service”), an AI-powered lead conversion and follow-up system for real estate professionals. This Privacy Policy describes how we collect, use, disclose, store and protect personal information in connection with our website and the Service.

We are committed to handling personal information in accordance with the Personal Information Protection and Electronic Documents Act (“PIPEDA”) and other applicable Canadian privacy laws. This policy is provided in plain Canadian English and does not replace independent legal advice.

Information We Collect

We collect information that you voluntarily submit to us, including:

  • Form submissions: name, email address, phone number, brokerage, service area and lead preferences provided through forms on our website, including the demonstration request form.
  • Communications data: the content and details of calls, text messages (SMS) and emails exchanged to provide requested demonstrations and related services.
  • AI-generated voice call data: information used to place AI-generated voice calls to you as part of a requested demonstration or follow-up.
  • Interaction records: where applicable, call recordings, transcripts and interaction summaries generated to operate, evaluate and improve the Service.

We may also collect limited technical information automatically, such as the pages you visit and general device or browser information, as described in the Cookies and Analytics section below.

How We Use Your Information

We use personal information to:

  • respond to demonstration requests and provide the requested services;
  • place AI-generated voice calls, send text messages and emails, and carry out follow-up communications you have requested;
  • store and organize contact and lead information within our CRM and related tools used to operate the System;
  • create call recordings, transcripts and interaction summaries where applicable, and use them to operate, support and improve the Service;
  • communicate with you about the Service and respond to inquiries; and
  • comply with applicable legal obligations.

AI-Generated Voice Calls and Recordings

As part of a demonstration or follow-up you request, we may place AI-generated voice calls to the phone number you provide. Depending on the configuration of the Service, calls may be recorded, transcribed or summarized to operate and improve the System.

You will be informed that you are interacting with an AI assistant. You may ask to end the call or decline to proceed at any time. Where call recording applies, you will be notified at the start of the call in accordance with applicable Canadian law.

CRM Storage and Service Providers

We store and organize contact, lead and communication information within our CRM and related tools used to operate the System. We use service providers to host data, place calls and messages, and provide related functionality.

Our service providers process personal information on our behalf for the purposes described in this policy and under appropriate contractual terms. Some service providers may be located outside Canada; see the Cross-Border Processing section below.

You can control or delete cookies through your browser settings. Disabling cookies may affect some features of the website.

We retain personal information only as long as necessary to fulfil the purposes for which it was collected, comply with legal obligations, resolve disputes and enforce our agreements. When information is no longer needed, we delete or de-identify it in accordance with our retention practices and applicable law.
